Job Summary
Grampian Credit Union Ltd is seeking a friendly, organised and proactive Office / Administration Assistant to join our team on a fixed-term basis. As the first point of contact for members, visitors and callers, you will deliver a warm and professional service while providing efficient administrative, member service and office support. The role is key to ensuring the smooth day-to-day running of the office, supporting finance and loan administration, maintaining accurate records and delivering high-quality service in line with the Credit Union's policies, procedures and values. You will play an important role in promoting the credit union ethos and providing excellent support to both members and colleagues.
Key Responsibilities
Member Services
- Deliver a warm, professional and welcoming service to new, prospective and existing members, visitors and stakeholders.
- Support member onboarding and respond to enquiries by telephone, email and in person.
- Assist with loan administration and promote appropriate credit union products and services.
- Educate members on savings, budgeting and financial wellbeing, including signposting to external support where appropriate.
- Maintain accurate member records and assist with internal audits.
Administration & Office Support
- Provide reception and general administrative support, including answering telephones, managing correspondence, filing, scanning and maintaining databases.
- Prepare documents, reports, presentations and other administrative materials.
- Process incoming and outgoing mail and emails.
- Maintain office supplies, stationery and an organised reception area.
- Support banking, credit control and continuous improvement of administrative processes.
- Undertake general office duties and any other reasonable tasks as required.
Teamwork & Professional Development
- Participate in staff meetings, supervision, appraisals and organisational development activities.
- Work collaboratively with colleagues, sharing knowledge and supporting team objectives.
- Build and maintain positive working relationships with members, colleagues and external stakeholders.
- Attend training and professional development opportunities to develop knowledge and skills.
Marketing & Community Engagement
- Assist with promotional events, community activities and member engagement initiatives.
- Update social media and other communication channels as required.
Essential Skills
- Excellent communication, customer service and interpersonal skills.
- Strong organisational, prioritisation and time management skills.
- Good IT skills, including Microsoft Office, email and database systems.
- Good literacy and numeracy skills.
- Ability to work accurately, efficiently and under pressure in a fast-paced environment.
- High attention to detail with the ability to maintain confidentiality and professionalism.
- Self-motivated, adaptable and able to work independently and as part of a team.
- Honest, reliable and committed to delivering excellent member service.
- Strong problem-solving skills and a proactive approach to improving processes.
Qualifications & Experience
Essential
- National 5s (or equivalent) in English and Maths.
- Administration or customer service experience (desirable but not essential)
- Familiarity with credit union or financial services environment (desirable)
Desirable
- Experience in administration, customer service or a member-facing role.
- Experience within a credit union, financial services, community or membership organisation.
- Understanding of the credit union ethos, financial inclusion and supporting vulnerable customers.
- Experience promoting products or services and delivering financial education.
